Transport operators carrying out commercial road freight transport are required to have a NIWO licence. This licence is valid for five years and must then be renewed. Renewing it on time is important, because transport cannot take place without a valid licence. In this article, you’ll learn how to renew a NIWO licence, what the requirements are and which documents you need.
Why renewing your NIWO permit is mandatory
A NIWO licence is always issued for a period of five years. After that, as a business owner, you must show that you still meet the requirements to keep it. This is required by law. If you fail to renew it or renew it late, the licence expires and you may no longer carry out professional road haulage. This can directly affect your business operations, as you will no longer be allowed to fulfil orders.
When do you need to renew?
Renewal takes place every five years. The NIWO informs businesses by letter well in advance that the expiry date is approaching and that a renewal application is required. However, it is wise to keep track of the expiry date yourself and not wait until the last minute. Submitting your renewal in good time (6 months in advance) prevents your permit from (temporarily) expiring.
Requirements for renewal
To keep your licence, you must once again demonstrate that you meet the three basic requirements:
- Good repute: no relevant convictions or criminal offences.
- Creditworthiness: sufficient financial resources in accordance with legal requirements.
- Professional competence: someone within the company must hold the professional qualification and be actively involved.
These requirements are the same as for the initial application, but when renewing, you must show that they are still being met.
Which documents do you need?
When you submit your renewal application, NIWO asks for up-to-date documents, including:
- A recent extract from the Chamber of Commerce.
- Proof of financial standing, often in the form of an accountant’s statement or bank guarantee.
- A statement or proof of professional competence within the company.
- Any additional documents, depending on your situation.
Make sure these documents are complete and up to date so that the application is not delayed.
How does the application process at the NIWO work?
The renewal is completed digitally via the NIWO business portal. There, you fill in the renewal form and upload the requested documents. Once the application has been submitted, NIWO will assess whether everything is in order. If there are any questions or additional documents are needed, you will be notified. If the application is complete, the renewal is usually processed within a few weeks.
Costs and timeframes
You pay processing fees to the NIWO for the renewal. The fee for submitting a renewal is € 126. In addition, you pay € 26,25 per permit certificate. Please note: if you submit the renewal on or after the expiry date, it will be treated as a new application for a Euro licence. You can read all about the costs of applying for a new Euro licence in the article: What are the costs of a NIWO permit?
Once approved, the permit is valid for another five years.
Tips for a smooth renewal
Renewing the NIWO licence does not have to be a complicated process, as long as you are well prepared. These tips will help your application go more smoothly:
- Start collecting the documents well in advance.
- Keep your financial records up to date.
- Check that all declarations and supporting documents are still valid.
- Add the permit's expiry date to your calendar and set a reminder.
